Fraser Dove International takes the privacy of our clients and candidates seriously.
This Privacy Policy sets out what we do with your personal data, including the information we collected, how it is used, and how you can control its collection, correction and deletion.
1) How we collect information
a) Voluntarily
When you apply for a job, upload a CV, refer a friend, submit a vacancy, download a lead magnet, contact us via our website or communicate with us in any way, you are voluntarily providing:
i) Clients:
The information we collect may include your contact name, email address, job title, company name, IP, phone number and any extra information you have chosen to share with us, for example, records of our conversations, meetings, contracts and placements.
ii) Candidates:
The information we collect may include your contact name, email address, job title, company name, IP and phone number. If you apply for a job or upload your CV, the information collected may extend to employment history, education, qualifications, location and any other information you disclose in these documents.
b) Automatically:
When you browse our websites, we may collect information about your visit to our website, include your IP address, operating system, browser ID and browsing activity. We may collect this information through cookies and tracking code. This information is used by Fraser Dove International to profile website visitors, report on pages viewed by visitors and see who opened emails and clicked on links they contain. This allows us to measure the performance of our website and email campaigns to improve our services going forward.

c) Manually:
Other than the aforementioned ways of obtaining data, we may obtain information about you from third party sources, namely social media platforms and personal or professional websites. Examples of information we may collect manually include name, job title, company, email address and telephone number.
2) How we store and secure your personal information
Fraser Dove International seeks to ensure the security of personal data. All personal data is stored on our secure server, our database (Invenias), CRM (Hubspot) and CMS (LinkedIn Recruiter). Your information is protected from unauthorised access, loss, manipulation, falsification, destruction or unauthorised disclosure. Only Fraser Dove International employees have access to information in these silos, and we have appropriate technical and organisational measures in place to protect the loss, misuse or alteration of data under our control.
3) How long do we store your personal data
Fraser Dove International will retain your personal data for as long as is necessary to perform our duties. Your consent includes explicit permission to retain your personal data for up to 36 months. After this period, providing we have not engaged in meaningful communication, we will delete your personal data with the exception of your name and contact number.
4) How we use your information
Fraser Dove International use your personal data to fulfil any of your requests and to send you appropriate and useful communications about our services.
The legal basis upon which we rely to offer these services to you are:
- Legitimate Interest: Processing is necessary for the purposes of the legitimate interests as a business but only if necessary for the purpose we collect it for.
- Contractual basis: Processing is necessary in relation to a contract entered into or because an individual has requested this to be done so they may enter into a contract.
- Consent: The individual gives his or her consent to the processing of his or her data for a particular purpose, in this instance, recruitment services to help you find a new role.
- Compliance: Necessary for the compliance of a legal obligation.
In line with Article 6(1)(f) of GDPR, organisations can process your personal data where it “is necessary for the purposes of the legitimate interests pursued by [us] or by a third party, except where such interests are overridden by the interests or fundamental rights or freedoms of [you] which require protection of personal data.” Fraser Dove’s legitimate interest is as follows:
Candidates
If you respond to one of our job adverts, submit your CV to us or have posted your CV on a job board or professional networking site, we believe it is reasonable for us to contact you, collect and use your personal data to provide our services to you. We need to do these things so we can match you to suitable roles and function as a business.
From time-to-time, we may use your data for administrative proposes to help streamline our business processes. We may also ask you to undertake a customer satisfaction or testimonial survey.
Clients
By processing your personal information under Legitimate Interest, you will receive any specific information you request, as well as allowing us to send you appropriate communications which includes, but is not limited to:
- Our latest resources (blogs, case studies, eGuides, Reports etc.)
- Information on our executive search and recruitment services.
- Invitations to our events or webinars or those we participate in.
You can manually opt-out of receiving these communications at any time by clicking the unsubscribe link at the bottom of emails. Emails containing this type of information are identifiable by the presence of an Unsubscribe link at the bottom of the email.
To ensure that we provide you with the best service possible, we store your personal data and/or the personal data of individual contacts at your organisation as well as keeping records of our conversations, meetings, registered jobs and placements. From time to time, we may also ask you to undertake a customer satisfaction or testimonial survey.
5) How we share information
a) Candidates personal data
Fraser Dove International will never share a candidates’ personal details with a third party without the candidate’s explicit consent. We will then only share personal details with participants involved in the hiring process.
Any personally identifiable information you elect to make publicly available on our website, such as posting comments on a blog, will be available to others. If you remove information you have made public on our website, copies may remain viewable in cached and archived pages of our website or if other users have copied or saved that information.
Should Fraser Dove be acquired in the future, we may share your personal data with the (prospective) new owners.
b) Non-personal identifiable information
Fraser Dove International may share non-personally identifiable information (such as anonymous usage data, referring/exit pages and URLs, platform types, number of clicks, etc.) with interested third parties to help them understand the usage patterns of our website.
c) Instances where we are required to share your information
Fraser Dove International will only disclose your information where required to do so by law if subject to subpoena or another legal proceeding.
d) Testimonials
Fraser Dove International display personal testimonials of satisfied candidates and clients on the Fraser Dove website. With your consent, we may post your testimonial along with your name and job title. If you wish to update or delete your testimonial, please email jbrown@fraserdove.com.
6) Your rights
Please be aware that you have the following data protection rights:
- The right to be informed about the personal data we process;
- The right of access to the personal data we process on you;
- The right to rectification of your personal data;
- The right to erasure of personal data in certain circumstances;
- The right to restrict the processing of your personal data;
- The right to data portability in certain circumstances;
- The right to object to the processing of your personal data that was based on public or legitimate interest;
- The right not to be subjected to automated decision making and profiling; and
- The right to withdraw consent at any time.

a) Access to information
To request access to the personal information we hold on you, please email jbrown@fraserdove.com. Once Fraser Dove International has verified your identity, we will fulfil your request within 30-days by sending a copy electronically, unless the request expressly specifies a different method.
b) Information correction and deletion
Fraser Dove International will update your personal record within 14-days of receiving an updated resume. In the unlikely event that your personal record is inaccurate, please email jbrown@fraserdove.com and we will update your record within 30-days of receiving your notification. If at any point you wish us to delete information about you, you can contact us.
c) Right of data portability
To allow you to transfer your personal data between controllers, we will provide you with your data in a commonly used machine-readable and password-protected format. To request your right to data portability, please email jbrown@fraserdove.com. Once Fraser Dove International has verified your identity, we will fulfil your request within 30-days.
d) Right to erasure
If you wish to have your personal record deleted, please notify us by email at jbrown@fraserdove.com. Once Fraser Dove International has verified your identity, we will ensure your personal record is deleted within 30-days of receiving notification.To fulfil contractual obligations with our clients, Fraser Dove is required to retain evidence of candidate placements. In instances where placed candidates wish their record deleted, Fraser Dove will ensure only minimal personal data is retained.
7) Notification of Breaches
In the unlikely event of a data breach, Fraser Dove International will report this breach to you within 72 hours of the event being brought to our attention. We will also take any necessary action to restore the security of your personal data and inform the Information Commissioner’s Office.
